Client Case Study: Matrix Legal

How to expand geographic reach with a Hosted Proclaim Case Management Software solution
We pride ourselves on the relationships we build with clients, and our key goal is providing high quality, efficient legal advice. Proclaim has been instrumental in enabling us to achieve this.”
Tariq Mubarak, Managing Director Matrix Legal
Surrey-based Matrix Legal is a growing property law specialist providing personalised legal services to both corporate and private clients.
The Challenge
Matrix Legal needed to spread its geographical reach beyond the firm’s existing postcode area and increase its volume of cases, without sacrificing the quality of client care or incurring the additional cost of a new office and extra staff. To achieve this goal the firm needed to replace its incumbent software with a new scalable, easy to use Case Management Software Solution.
The Solution
A hosted Proclaim Practice Management Software solution was rolled out throughout the firm, providing a secure centralised database ensuring a consistent approach from each member of the team. Proclaim can be accessed from anywhere, anytime – an essential requirement for exceeding client expectations in this increasingly competitive sector.
Proclaim’s accounts platform enables a complete firm-wide reporting base and a seamless approach to billing and financial management.
The Results
Proclaim has streamlined time consuming, non-value adding, administrative tasks, by automatically producing documents and keeping clients updated on case progress - freeing up valuable quality time for staff to invest in client relationships and focus on strategic growth plans.
These transformations were pivotal in Matrix Legal achieving its goal of expanding the reach of its services; the firm now operates in over ten postcode areas of the South East region.
The future will see Matrix Legal further boost its reputation for fast, transparent services with the adoption of Eclipse’s TouchPoint client self-service solution and Proclaim’s direct integration with the Land Registry Business Gateway Portal.
Case Study Highlights:
  • Cloud based Proclaim system utilised firm-wide

Eclipse and Veyo first to announce joint integration plan

Eclipse Legal Systems, the Law Society Endorsed provider of legal software solutions, has announced its plans for integration with Veyo, the soon-to-launch comprehensive conveyancing portal.

Eclipse’s conveyancing clients include the full range of practitioners from new start-ups through to high-street practices and volume conveyancing firms.  Eclipse’s Proclaim Conveyancing Case Management Solution provides an end-to-end approach and is widely regarded to be the most ‘integration friendly’ system in the marketplace.

Veyo, the joint venture between The Law Society and Mastek (UK) Ltd, a global IT Solutions company, will bring together electronically all the processes, checks and documentation prepared and undertaken by solicitors and licensed conveyancers in the sale and purchase of residential properties.

By integrating with Veyo, Eclipse’s clients will benefit from unique features such as the chain view and deal room, sharing information seamlessly between the Proclaim Case Management Solution and Veyo’s system - removing the need for duplication and increasing transparency.

Darren Gower (pictured), Marketing Director at Eclipse, comments:

“We at Eclipse pride ourselves on enabling our clients to be at the cutting edge of their business sectors.  By giving our conveyancing clients the option to integrate with Veyo, we are providing the flexibility and increased communication channels that the increasingly competitive property market requires.  Our clients will have the ability to utilise their best-of-breed Proclaim Conveyancing Case Management Solution within the new collaborative ‘chain’ environment of the Veyo portal.”

Desmond Hudson (pictured), Chairman of Veyo, comments:

“We are delighted to announce our partnership with Eclipse.  We have always recognised the importance of integration with reputable case management systems that are widely used across the full spectrum of legal practices. By partnering with Mastek UK, we have developed a truly agile portal that can integrate seamlessly with a myriad of systems.

“We are bringing in a revolutionary change to the home buying process which is long overdue. For the first time, Veyo will allow all solicitors to collaborate online and to move away from traditionalist practices and communications, further speeding up the process and enhancing transparency and efficiency.  We are looking forward to working with Eclipse and other leading service providers to bring this change.”

Proclaim Debt Recovery - enhanced integration with CCBC using SDT portal

Law Society Endorsed legal software provider, Eclipse Legal Systems, has announced enhanced integration with the County Court Bulk Centre (CCBC) using the Secure Data Transfer (SDT) portal.

The integration is available for the benefit of Eclipse clients, within Proclaim’s Debt Recovery Case Management Software system.  A wide new range of services is available, encompassing the submission of a request for a claim, request for judgement, automated retrieval of defendant responses, warrant requests, and notification of paid cases.

The development utilises Proclaim's Task Server 'robot' tool to minimise manual processes and automate as much of the workflow and data transmission as possible.  Claims are submitted to the SDT via the Proclaim desktop environment, at the click of a button.  Data verification is included to ensure that, pre-submission, all relevant information is included - and users are alerted to any missing elements in real-time.  Once the claims have been processed and issued, feedback on case progress is managed by Proclaim's Task Server and fed into the respective originating cases, updating users by way of Proclaim's integrated task management system.  All data submitted to, and retrieved from, CCBC is encrypted to ensure security in transit.

The integration has proved to be a success, with Eclipse reporting one newly-implemented commercial client already processing upwards of 1,000 files per week.

Tracy Blencowe (pictured), Business Solutions Director at Eclipse, comments:

“This integration allows for quicker upload of volume claims in comparison to the previous CCBC data extract service.  Proclaim’s workflow can now further simplify claim production, ensuring a truly streamlined process, higher levels of accuracy, and a reduced administrative overhead.”

Abbie Keech (Director)Michael Lewin Solicitors

Founded in 2001, Leeds based Michael Lewin Solicitors has grown into a large nationwide Personal Injury practice employing over 120 staff across 5 offices.

The Solution
A Proclaim Practice Management System was chosen and is utilised by all Michael Lewin staff, providing a core centralised solution for a range of injury claim types from minor RTA (Road Traffic Accident) claims - processed seamlessly with Proclaim’s Application to Application integration with the Government’s Claims Portal - through to £multi-million Clinical Negligence matters.  The firm also adopted Proclaim as its practice accounting and reporting toolset, providing full integration with fee earner activity. Eclipse also conducted a data migration from the incumbent solution.

Since implementing Proclaim in 2009, headcount has grown from 15 to over 120, an increase of over 700%.
