Eclipse's Proclaim Practice Management Software solution aids ESW Legal in exceeding client service expectations

Eclipse Legal Systems, the Law Society's sole endorsed legal software provider, has announced the implementation of its Proclaim Practice Management Software solution at Essex law firm, ESW Legal.

ESW Legal is an established solicitors practice operating from modern offices in Rayleigh, providing services across London and the South East. The firm's aim is to meet the needs of its clients in a professional, efficient and cost-effective manner. ESW Legal prides itself on its approachable and friendly service, striving to treat all clients with respect, skill, sensitivity and discretion.

An out-of-the-box hosted Proclaim Conveyancing Case Management solution is being implemented across the department, serving to improve transparency and provide an enhanced approach to matter management. Risk will be effectively managed departmentally, with users to benefit from a host of tools to manage and streamline the client journey from instruction through to completion. Furthermore, the integrated practice management and accounting toolset will form a financial solution to ensure administrative overheads are significantly reduced, boosting overall efficiency and providing a detailed analysis of operations.

ESW Legal has also opted for Proclaim's integration with the Land Registry's Business Gateway. Utilising Web Services, Proclaim will provide 2-way integration for data and documentation, providing the firm with the capability to further drive client service efficiencies.

Steve Cracknell, Director at ESW Legal, comments:

"In such a competitive market, it's crucial we continue to stay ahead of the competition in terms of the service we offer. Proclaim's ability to streamline our processes will be fundamental to our success, ensuring clients benefit from even greater speed and transparency, and ultimately enabling us to exceed the service offered by many of the larger London firms."

Eclipse announces innovative integration with the Land Registry Electronic Document Service

Eclipse Legal Systems, the sole Law Society Endorsed legal software provider, has announced its integration with the Land Registry Electronic Document Service (eDRS).

The integration will be available for the benefit of Eclipse clients, within Proclaim's Conveyancing Case Management Software solution. Users will be able to make an electronic application to change the register of a property, directly through the Proclaim desktop.

This latest development will enable Conveyancing fee earners to complete an eDRS application entirely through Proclaim, as well as send electronic copies of accompanying documents, such as Transfers, Charges or SDLT returns. Proclaim will automatically check the Land Registry for responses to the uploaded documents, requisitions relating to the application and the updated register upon a successful application, and using the Task Server robot tool, will generate tasks to notify the user and update the case history.

Firms using the Proclaim eDRS integration will benefit from a reduced cost of many registrations as the Land Registry offers a 50% reduction fee for certain applications logged electronically. Furthermore, the inherent validation and approval mechanism will eliminate the risk of human error, whilst improving overall operational efficiencies by reducing duplicate data entry.

Rob Lewis, Director at Eclipse client, Advantage Property Lawyers, comments on the integration:

"The Proclaim-eDRS integration has enabled Advantage Property Lawyers to streamline our post-completion processes by removing duplicate data entry and automating the upload, collection and retention of documents.

"Ultimately, this new functionality has allowed us to adopt an enhanced systematic approach to our post-completion work. We can better manage our exposure to risk and offer a seamless process from completion to registration, benefiting our clients, lenders and the firm."

Tracy Blencowe (pictured), Business Solutions Director at Eclipse, adds:

"Proclaim is one of the most widely used Conveyancing solutions in the UK and this latest integration serves to further confirm that it's seen as a long-term productivity tool, with the ability to match needs of the firms using it.

"By integrating with the Land Registry eDRS, we are not only enabling our clients to streamline non-value adding administrative tasks and enhance usability, but we're also providing them with a solution which possesses the flexibility that the increasingly competitive property market requires."

Client Case Study: Hansells

Hansells offers cost-effective and enhanced client service with Eclipse's Proclaim Practice Management Software solution

"As an established practice, we continually develop our services to meet the needs of our clients and the ever-changing legal sector. Proclaim is a fantastic solution for us - its flexibility allows us to give a better, cost-effective services by enabling us to rapidly adapt to client and sector requirements."
Karon Harrison, IT Manager at Hansells

Established in 1827, Hansells Solicitors and Financial Advisors has substantially grown over the decades and is now a leading name within the UK. Following a number of successful mergers, today the firm has over 115 staff and partners, all working from seven offices across Norfolk.

Hansells boasts an enviable reputation due to its ethos of continually developing and improving its services to meet the changing needs of both personal and corporate clients.

The challenge
Delivering a full service offering, Hansells needed a Practice Management Software solution to handle its broad range of cases, and to provide sophisticated levels of flexibility in terms of tailoring workflows to ensure staff could accommodate all client requirements.

Furthermore, Hansells required a Practice Management solution that could effectively reduce the cost of routine tasks and allow staff to continue to provide a personalised and tailored service to clients, whilst processing cases quickly and efficiently.

The solution
After an extensive initial search and follow-up meetings with several legal software providers, it became clear to Hansells that Eclipse offered the best solution for the firm's requirements due to its ease of use and sheer scope of functionality.

Eclipse's Proclaim Practice Management solution was selected to provide the practice with complete flexibility and low maintenance overheads. Staff at Hansells now benefit from a fully centralised and user-friendly system, whilst the integrated practice management and accounting toolset provides senior staff with an at-a-glance view of financial data.

The results
Since implementation, Hansells has seen enhanced efficiencies firm-wide. With Proclaim, both fee earners and accounts staff can view and manage case details simultaneously, ensuring data is continually updated, and comprehensive, real-time overview is available upon case opening.

Furthermore, Eclipse's CaseViewer tool has proven vital to Hansells, providing an external Costs Draftsman with access to Clinical Negligence cases within a secure environment, whilst fee earners in the Civil Litigation department have found it particularly useful to view entire case histories electronically when in court.

The sheer scalability of Proclaim means the system can effortlessly grow with Hansells as the practice continues its expansion. In the future, the firm is hoping to implement a number of additional Eclipse toolsets including SecureDocs which will take client service to the next level. The secure online document delivery and acceptance tool will enable a much quicker turnaround for client capture, ultimately resulting in speedier case progression.

Case Study highlights:

  • Fully integrated Practice Management system for over 100 staff
  • Complete flexibility
  • Low maintenance overheads
  • Entire case histories available away from the office through CaseViewer
